Key Takeaways:
- Customer Insights has two sides: Data (one unified customer profile) and Journeys (automated marketing across email, SMS, and push).
- Base pricing starts at USD $1,700 per tenant per month, roughly CAD $2,400. Already own a qualifying Dynamics 365 app? The attach license drops to USD $1,000.
- It is not a CRM and not an ERP. It sits alongside Sales, Customer Service, and Business Central.
- Best fit: teams with 10,000+ contacts, multiple data sources, and an active marketing engine. If any of those are missing, wait.
Dynamics 365 Customer Insights is Microsoft's answer to a problem most Canadian teams know too well: your customer data lives everywhere except one place.
Sales sees deal history. Support sees tickets. Marketing sees email opens. Finance sees invoices. Each team has a piece. Nobody has the whole picture.
This guide walks through what Customer Insights actually does, what it costs in Canada, when it is worth buying, and where it fits inside a Microsoft stack that already includes Business Central and Sales.

What Is Dynamics 365 Customer Insights (And What Does It Do)?
Dynamics 365 Customer Insights is a Microsoft tool with two jobs. First, unify your customer data into one profile. Second, use that profile to send the right message at the right moment.
Dynamics 365 Customer Insights Data: Building One Customer View
The Data side pulls customer records from every system you use and stitches them into one profile per person.
Think about how customer records show up today… A lead form in one tool... A deal in Dynamics 365 Sales... A support ticket in customer service... An invoice in Business Central… A subscription in a billing app... Same person, five records, five sources.
Dynamics 365 Customer Insights ingests those sources, matches records that belong to the same customer, and builds a unified profile. From there, you can define segments (like "customers who bought in the last 90 days and opened three emails but haven't replied to sales"), see churn risk scores, and rank customers by lifetime value.
The technical name for this category is customer data platform, or CDP. Microsoft's version happens to plug directly into the rest of the Dynamics 365 stack.
Dynamics 365 Customer Insights Journeys: Sending The Right Message
The Journeys side turns those unified profiles into automated messages across email, text, and push notifications.
A journey is a chain of steps. Someone signs up for a webinar, gets a confirmation email, then a reminder text three days before. After attending, a thank-you email with a case study. If they click, sales gets a warm lead.
Dynamics 365 Customer Insights builds that flow visually. Real-time triggers fire based on a website visit, a support case, or an ERP transaction. Copilot for marketing drafts the email content and suggests journey improvements.
The Old "Dynamics 365 Marketing" Confusion
The rename in 2023 caught a lot of teams off guard. Here is what actually changed…
Microsoft rolled the old Dynamics 365 Marketing product and its real-time features into one product: Dynamics 365 Customer Insights. The legacy Marketing license stopped being available for renewal in September 2025, and existing customers are being transitioned to Customer Insights - Journeys. If your team still calls it "Dynamics 365 Marketing," you have the features right, just the name is old.
If you want a fuller look at what the old Marketing product covered and how those features carry over, our guide to Dynamics 365 Marketing features walks through the email editor, customer journey builder, landing pages, and marketing lists that now live inside Customer Insights - Journeys.
Dynamics 365 Customer Insights Pricing In Canada (Real Numbers)
Microsoft prices Dynamics 365 Customer Insights per tenant, not per user. That changes the math for smaller teams in a good way.
The Base License of Dynamics 365 Customer Insights And What Is Included
The base license starts at USD $1,700 per tenant per month. In Canadian dollars, that is roughly CAD $2,400 at current exchange rates. It covers up to 100,000 unified profiles (Data) and 10,000 interacted people with 100,000 interactions per month (Journeys).
You get both Data and Journeys included, Copilot AI features for content generation and segment building in plain English, and connections to Sales, Customer Service, Business Central, Power BI, and third-party sources.
If you exceed the profile or interaction caps, you buy add-on packs. Overages add up fast, so budget for a buffer. Most Canadian SMBs do not come close to the caps in year one.
The Attach License If You Already Own Dynamics 365
If your business already runs 10 or more user licenses of a qualifying Dynamics 365 app (Sales Pro/Enterprise/Premium, Customer Service Pro/Enterprise, Field Service, Finance, Supply Chain Management, or Commerce), you can add Customer Insights at the attach rate of USD $1,000 per tenant per month, about CAD $1,420.
That is a meaningful drop. Many Canadian SMBs already running Sales or Customer Service qualify without realizing it.
Note: Business Central Premium does not currently qualify for the attach license, so if BC is your only Dynamics 365 app, budget for the full base rate.
Who Should Use Dynamics 365 Customer Insights (And Who Shouldn't)
Not every team needs a customer data platform. Here is the honest fit test.
Signs Dynamics 365 Customer Insights Fits Your Team
You probably have a real case for Dynamics 365 Customer Insights if most of these are true:
- You have 10,000+ contacts across at least three systems (CRM, ERP, marketing tool, ecommerce, support).
- A marketing person or team is already running campaigns and asking for better segmentation.
- Your sales team complains that leads come in with no history attached.
- Support cases and sales conversations happen in separate silos, and customers notice.
- You are already inside the Microsoft ecosystem with Sales, Customer Service, or Business Central.
Four out of five true, and the ROI conversation starts making sense. Three, you are close but should pressure-test with a partner. Fewer than three, you are likely paying for capacity you cannot use yet.
The clearest signal: are your teams asking for one view of the customer? If yes, you have a real problem. This tool solves it.
Signs You Should Skip It (For Now)
Some businesses will save money by waiting.
- You have fewer than 5,000 customer contacts total.
- Your customer data already lives in one system, usually just a CRM.
- You have no active marketing automation strategy today.
- Nobody on your team owns marketing or customer analytics as a real job.
- Your Dynamics 365 environment is brand new and still being configured.
At CAD $2,400 per month baseline, this is not a "let's try it and see" purchase. It is a real budget line. If your foundation is not ready, buy the foundation first and come back to Customer Insights when the volume and use cases justify it. A good Microsoft partner will tell you this out loud. Most will not.
If you want to see what customer accounts already look like inside Dynamics 365 before we get into how Customer Insights layers on top, this short walkthrough covers the basics.
How Dynamics 365 Customer Insights Works With Business Central And Sales
The value goes up sharply when Customer Insights plugs into the rest of your Microsoft stack.
The Sales And Customer Service Handoff
Dynamics 365 Customer Insights sits between marketing and everyone else. It feeds Sales enriched leads with real context: what pages they browsed, what emails they opened, what content they downloaded. Paired with relationship analytics in Dynamics 365, reps get a real read on account health before every call.
On the service side, it pushes churn signals and lifetime value scores into Dynamics 365 for Customer Service, so agents know when a top customer is on the line. Copilot in Customer Service can then draft responses already tuned to the customer's history.
Your sales rep, service agent, and marketer all see the same customer, with the same history. That single view is the whole reason to buy Customer Insights.
The Business Central Connection
Business Central is your operational spine, tracking orders, invoices, inventory, and financials. When it connects to Customer Insights, transaction data becomes marketing data. Now you can trigger a journey after a fifth repeat order, or flag a customer who hasn't ordered in 90 days for a win-back campaign.
That is the compounding effect: BC knows what customers bought, Sales knows what they said, Customer Service knows what they complained about, and Customer Insights turns all of it into one profile per person. This is the Microsoft competitive advantage over stitching four disconnected tools together.
For a Canadian SMB already on Business Central, this is where Customer Insights earns its keep.

What Dynamics 365 Customer Insights Won't Do For You
Vendors do not say this part out loud. Here is what Customer Insights does not do.
It Is Not A CRM (And Not An ERP)
This trips up almost every buyer at some point. Dynamics 365 Customer Insights does not manage deals... It does not track opportunities... It does not handle invoicing, inventory, or accounting... You still need Sales for pipeline, Customer Service for tickets, and Business Central for operations.
Customer Insights sits on top of those systems. It reads their data, unifies it, and acts on it. It does not replace them.
If you do not already have a real CRM, start there first. Our full write-up on HubSpot vs Dynamics 365 breaks down pricing, customization depth, and which type of business each platform suits, so you can pick the right CRM foundation before layering Customer Insights on top.
It Is Not A Customer Support Tool
A common mistake: teams buy Customer Insights and expect it to handle support cases, chatbots, or a ticketing queue. It will not... Those live in Dynamics 365 Customer Service.
Customer Insights can feed churn scores and lifetime value into service cases so agents get context, but it does not do the ticketing itself. Two different products, two different licenses, two different jobs.
If service is your biggest pain point today, prioritize Customer Service and hold off on Customer Insights until your service data is clean. Buying both at once is a common way to burn budget on capacity you cannot use.
Dynamics 365 Customer Insights And Canadian Marketing Rules
This section rarely shows up in vendor documentation. It should. Canadian rules touch every journey you send.
CASL Rules Inside Dynamics 365 Customer Insights
Canada's Anti-Spam Legislation (CASL) is stricter than most privacy laws U.S. teams are used to. Every commercial electronic message needs express or implied consent, a clear sender identification, and a working unsubscribe. Fines can hit $10 million per violation.
Customer Insights lets you build consent management directly into journeys. You can log the date, source, and type of consent per contact. You can suppress messages when consent lapses. You can honor unsubscribe within seconds, not days.
The catch: none of this is automatic. You have to configure it. If you are importing a legacy contact list, you also need to prove which contacts opted in and when. That evidence usually lives outside the tool by default. A partner will walk through consent setup as part of every rollout in Canada. It is not optional.
PIPEDA And Quebec's Law 25 (Bilingual Journeys)
PIPEDA governs how you collect, use, and store personal customer data across Canada. Since Customer Insights unifies data from many sources into one profile, you need clear documentation on why you are storing each field.
Quebec's Law 25 adds another layer if you have Quebec customers. Consent must be granular and requested separately. A privacy officer must be designated and named in your privacy policy. Customers can request a copy of their data at any time.
Journeys also touch language. Bill 96 requires customer communications for Quebec residents to be sent in French by default. Customer Insights supports bilingual journeys, but you have to build the language branch in from the start. Retrofitting French versions of every email onto an existing journey is painful and expensive.
How To Roll Out Dynamics 365 Customer Insights Without Blowing Up Your Budget
Budget overruns on Customer Insights projects come from the same three or four mistakes. Here is how to spot them early.
Start With Data, Then Journeys
Every strong rollout starts on the Data side…
- First, decide which sources you are pulling in.
- Second, agree on your matching rules (email? phone? account name?).
- Third, clean the data before it enters Customer Insights. Bad data in produces bad segments out.
Only after Data is solid should you build Journeys. Teams that skip straight to Journeys end up sending automated emails to duplicate contacts, wrong addresses, and people who unsubscribed two years ago. That is how you erode brand trust and get flagged by ISPs.
Plan for six to eight weeks on Data before Journeys goes live. Some teams need longer. It is the least glamorous part of the project and the one that decides whether the whole thing pays off.
The Real Cost Traps
Four traps drive most Canadian budget overruns on Dynamics 365 Customer Insights rollouts.
- First, custom data connectors. If you are pulling from a niche system that does not have a prebuilt connector, expect $8,000 to $20,000 in custom development.
- Second, segment complexity creep. Marketers ask for "just one more" segment condition. Some segments become slow, expensive, and hard to maintain. Cap segment complexity from day one.
- Third, unified profile explosion. Every duplicate you did not clean becomes an extra profile counted against your license cap. Overages start eating your budget by month four.
- Fourth, consent import pain. Migrating legacy contacts with proper CASL evidence is manual, slow, and often costs 40+ hours of a partner's time. Budget for it.
A well-scoped Customer Insights implementation typically runs $30,000 to $75,000 CAD for a Canadian SMB, all in.

It is Microsoft's customer data platform. It unifies customer information from multiple sources into one profile and uses that profile to send automated messages across email, SMS, and push. It has two sides: Data and Journeys.
Why Gestisoft For Your Dynamics 365 Customer Insights Rollout?
Gestisoft is a Canadian Microsoft Solutions Partner and B Corp certified company. Founded in 1997 and working with the Microsoft Business Applications stack for nearly three decades, we serve SMBs across Canada and North America in both English and French.
Most Dynamics 365 Customer Insights rollouts stall in the same places: bad data going in, unclear consent for Canadian contacts, no plan for Quebec bilingual journeys, or a scope that ignores the Business Central and Sales already in place.
Our team walks through those risks before quoting a project. If Customer Insights is not the right fit yet, we say so out loud. If it is, we build the Data side first, then Journeys, and connect the whole thing to the rest of your Dynamics 365 stack. CASL, PIPEDA, and Law 25 compliance are part of every implementation…
Here’s what one of our clients said after working with the Gestisoft team:
“Gestisoft was very responsive and proactive in adapting to the internal challenges we faced and ensuring that we met our objectives. We were very impressed with the work of everyone involved in the project.”
If your team is weighing Dynamics 365 Customer Insights, one honest conversation will tell you more than a month of vendor demos.
